Holy Spirit Parish is looking for an enthusiastic and energetic Part-time Administration Assistant with strong administrative and digital skills to join our Parish team. The role will be working 24 hours per week across a span of Tuesday, Wednesday, Thursday and Friday. This role offers a unique opportunity to support the mission of the Church in Western Sydney.

About the role

  • Handle correspondence, emails, and phone calls promptly.
  • Manage parish bookings, appointments and the Office Diary/Outlook Calendar
  • Prepare and publish the weekly Parish newsletter.
  • Prepare weekly roster of volunteers for all masses
  • Prepare documents, event flyers, digital communications, and PowerPoints
  • Maintain records of Baptisms, Confirmations, Marriages, and Funerals in PADRE.
  • Greet visitors and assist with inquiries about Sacraments and services.
  • Manage parish website and social media pages, including updating information, uploading documents, resizing and uploading images in liaison with Parish Priest
  • Oversee office supplies and supplies needed for masses.
  • Prepare sacramental certificates such as baptismal and Marriage certificates
  • Submit weekly reports to comply with the Music Licensing Agreement
  • Submit any relevant reports to the Diocese as required, e.g. Annual Statistics
  • Attend to other tasks as directed or required from time to time

About you

The successful candidate will demonstrate the following:

  • Demonstrate commitment to the mission and values of the Catholic Church by supporting and respecting the teachings of the Catholic Church and the ethos of the Diocese of Parramatta. 
  • Ability to work with minimal supervision and have a proactive approach. 
  • Highly organised with good attention to detail and time management skills to meet certain deadlines. 
  • High level Microsoft Office suite skills
  • High level competence in the I.T. and digital space
  • Strong database management skills
  • Strong communication skills, both written and verbal
  • Strong interpersonal skills and a team player
  • High degree of accuracy and attention to detail
  • Have current NSW driver’s license and able to drive their own car. 
  • Adherence to Work, Health and Safety and Safeguarding legislation. 
  • Hold a valid Working with Children clearance.
