About the role
The Facilities Coordinator will play a critical role in ensuring the smooth operation of the Dioceses physical environment. This position involves overseeing the day-to-day management of the building, equipment, and grounds, ensuring that all facilities are maintained and compliant with AU safety regulations. The Facilities Coordinator works closely with other departments, vendors, and contractors to create a safe, efficient, and pleasant workplace for employees and visitors alike.

Duties and Responsibilities:
Governance & Stewardship
- Follow a maintenance plan to meet the needs of the Diocese, including contributing towards future maintenance plans.
- Proactively identify property maintenance issues and present them to the Property Assets Manager.
- Ensure diocesan land and buildings are maintained to a high standard whilst complying with the property services budget.
- Ensure diocesan land and buildings are compliant with the law with respect to their condition and use.
- Ensure property risk assessments are completed and resultant mitigation.
Quality Improvement
- Ensure the Diocese has in place the best contemporary practice policies and procedures pertaining to facilities maintenance.
- Continually review relevant processes and procedures and monitor policies to ensure that they are delivered efficiently, effectively and using available technology wherever possible.
- Ensure diocesan land and buildings are maintained to a standard that optimises their commercial value and amenity to the Diocese.
- Conduct scheduled and ad hoc audits of diocesan land and buildings.
- Implement and maintain condition audit programs for the property portfolio.
- Document and maintain records in a professional and accurate manner.
Administration & Communication
- Ensure prompt responses to requests whilst developing professional working relationships & liaising with the diocesan staff and clergy.
- Administer and implement policies, procedures and guidelines relating to the management and maintenance of diocesan property.
- Ensure the diocesan relationships with service partners including other diocesan organisations, local councils, state government bodies, industry groups and networks, community service organisations, funding bodies and specialist organisations are cooperative, productive, and positive.
- Maintain a sound knowledge of buildings within the Diocese, their locations, their use and where applicable, the names of Parish priests and/or Administrators.
- Develop networks and service partnerships with other diocesan organisations, local councils and state government bodies, industry groups and networks, community service organisations, funding bodies and specialist organisations (e.g., universities) to position the Diocese for continued growth.
- Provide advice and support to Parish Priests in the implementation of their respective maintenance plans and related property issues.
- Liaise and consult with Parishes and Catholic Schools Diocese of Parramatta to leverage Parish property collaboration opportunities.
- Maintain positive relationships with key internal and external groups to maintain an effective culture of cooperation, including with diocesan tenants and other occupiers or users of diocesan land and property. 3 to 6
- Provide appropriate support and advice to the Diocesan Property Council.
- Obtain quotes (when necessary), engage and oversee trades people and associated consultants.
- Assist with the accurate maintenance of asset and lease registers.
- Identify, schedule and carry out various maintenance works in relation to diocesan buildings.
- Ensure that diocesan land and buildings are compliant with the law with respect to their occupation and use including fire safety, evacuation plans, electrical tagging and other associated compliance issues.
- Provide regular reports/advice on any risk issues identified, associated with the physical condition, maintenance and use of diocesan buildings to the Property Assets Manager.
Essential Requirements for this position:
- Trade qualifications or facilities maintenance background is essential.
- Hold a Current Driver’s License.
- Have a current or be willing to obtain working with children check (WWCC).
