About the role

Our Lady of Mount Carmel Church, Wentworthville is seeking a dedicated and enthusiastic Parish Secretary to join the parish team on a part time basis, working from the Parish Offices at 4 Bennett St, Wentworthville NSW 2145.

This position is for 4 days per week, Monday to Thursday, with working hours from 8.30am to 3.30pm.

This role offers a unique opportunity to support the mission of the Church in Western Sydney.

Responsibilities

Reception Duties:

  • Manage reception responsibilities, including handling all incoming inquiries and calls.
  • Assist and support parishioners with their needs.

General Administration:

  • Respond to emails and complete necessary tasks.
  • Ensure that religious, office and other inventory supplies are in stock
  • Prepare and distribute weekly Bulletin, via ministry email and upload to website.
  • Prepare Weekly Mass projection slides.
  • Prepare rosters for Parish Ministries
  • Diary management for priests, meeting rooms and Church bookings
  • General filing and archiving including Sacramental paperwork
  • Bookings and paperwork associated with Baptisms. Marriages and Funerals and input of details into PADRE (the parish recording system
  • Maintain/compile database of children registering for each sacrament
  • Preparation of Sacramental program projection slides
  • Update of parish Website and Social media pages
  • Attend team meeting and prepare and distribute minutes
  • Maintain records of Working with Children Check for staff, parish ministers, scripture teachers, and volunteers, ensuring that records are current
  • Keep track of volunteers’ compliance with Safeguarding modules.
  • Routine maintenance issues
  • Other duties assigned by Parish Priest and Office Manager

About you

Specifically, as the ideal candidate for this role, you will meet the following Key Requirements

  • Demonstrate commitment to the mission and values of the Catholic Church by supporting and respecting the teachings of the Catholic Church and the ethos.
  • Proven experience in administrative procedures
  • Ability to work with minimal supervision and have a proactive approach. 
  • Highly organised with good attention to detail and time management skills to meet certain deadlines. 
  • A clear communicator with a professional manner.
  • Ability to work cooperatively and collaboratively in a team environment. 
  • Tertiary qualification or relevant demonstrated experience
  • Intermediate computer skills in Microsoft Office and Canva
  • Have current NSW driver’s license and able to drive their own car. 
  • Adherence to Work, Health and Safety and Safeguarding legislation. 
  • Hold a valid Working with Children clearance.
