About the role

Are you a detail-oriented property professional who thrives on variety? The Diocese of Parramatta is looking for a Property & Project Coordinator to play a vital role in bridging the gap between high-level strategy and on-the-ground delivery.

This is a unique opportunity to support property portfolio management and coordinate projects and that directly impact the community—from minor parish renewals to supporting major, multi-million-dollar developments across Western Sydney and the Blue Mountains.

As the Property & Project Coordinator, you will be the “engine room” of the Property Services team. You will lead minor projects independently while providing critical structured support for major capital works. This role balances technical project management with property administration and deep stakeholder engagement.

Key Responsibilities

1. Project Coordination & Delivery

  • Lead minor property projects from initiation through to closeout and hand-over.
  • Provide structured support for major projects, including program, budget, managing risk/issue registers, consultant inputs, and procurement processes.
  • Maintain meticulous project records and ensure a smooth transition between project delivery and ongoing facilities management.

2. Feasibility & Business Case Development

  • Prepare development proposals, preliminary project briefs, and feasibility assessments.
  • Collate inputs from internal stakeholders and external consultants to develop compelling business cases for Diocesan leadership.

3. Property Portfolio Management

  • Support the day-to-day management of the property portfolio, including leasing administration and statutory compliance.
  • Help maintain portfolio registers and contribute to the strategic sequencing and prioritisation of works.
  • Identify emerging operational risks and coordinate timely resolutions with contractors and internal staff.

4. Stakeholder Engagement & Coordination

  • Build trusted relationships with Clergy, Parish Priests, and Finance Councils.
  • Provide clear, respectful guidance to parishes on property policies and obligations.
  • Facilitate workshops and consultations to help stakeholders understand asset risks and strategic opportunities.

About you

You are a highly organised coordinator who can pivot between a budget spreadsheet and a parish meeting with ease. You possess the commercial discipline to manage vendors and the pastoral heart to support our community’s mission.

Essential Requirements:

  • Experience: 2–4 years of industry experience in property or project management.
  • Project Skills: Demonstrated ability to manage multiple concurrent projects, project budgets, and reporting cycles.
  • Technical Proficiency: Strong skills in project tools (e.g., MS Project) and experience with procurement, WHS, and contract administration.
  • Portfolio Knowledge: Experience in managing commercial or mixed-use portfolios, including leasing and managing service providers.
  • Qualifications: Tertiary qualification in Project Management, Land Economics, or a related property field (completed or in progress).
  • Compliance: Valid Driver’s Licence and a current Working with Children Check (Employee).

  • Experience in a not-for-profit or community-focused environment.
  • An understanding of the mission and unique challenges of the Catholic Church.
